Vendor Shares are when a vendor shares tables with another vendor under the same booking.  This allows for the second vendor to appear in the online interactive layout.  Repticon allows for shares under the following conditions:

  • To set up a share, both vendors should contact Repticon Bookings at [email protected] in writing via email so Bookings has a record of the request from both vendors.
  • One of the two vendors must be the primary booked vendor who pays for the booking in full and is the responsible party in the case of a no-show or cancellation.
  • Any financial arrangements between the two vendors are between themselves and outside of the Repticon booking system.
  • Setting up a vendor share is handled manually by Repticon Bookings staff after the first vendor is already booked.  The vendor who is the share will be added to the first vendor’s tables so they appear on the vendor list and the hover feature on those tables on the layout.
  • If the primary booked vendor has multiple single tables or endcaps in the layout, the shared second vendor may only be added to a portion of the tables if preferred.
  • A primary booked vendor may only work multiple shares if their booking is large enough that it would normally accommodate that many staff entries under the usual vendor rules.  Please inquire directly with Bookings via email to confirm.
  • Vendors may never give their booked tables to other vendors.  If cancelling, the tables must go through the waitlist system.  However, if the primary booked vendor remains the responsible party and pays for their tables, they may have anyone run their tables that they choose.  If this happens to be a sharing vendor, they may set up a share, so long as the primary vendor understands they will remain on the layout and are still responsible for the booking.

 

Recommendations regarding Vendor Requests:
Bookings advises that all vendor requests be made via email to [email protected]. This gives Bookings the request in writing which then can be referenced later if needed. Also, email correspondence is more likely to be seen by multiple Repticon staff in a more timely way. If you are on-site at a show, while questions and concerns are always welcome and encouraged, relying solely on verbally making a future booking request of the on-site managers is not advised. The demands and distractions of running a Repticon event can reasonably result in the manager failing to notate your request. A quick email sent to Bookings ensures your request will be received.
