A Quick Guide to Canceling, No-shows, and the Fee Schedule.

  • Vendors cannot self-cancel, but should notify Repticon by emailing [email protected] with cancellation requests.
  • Cancellation emails should include the reason for cancelling so that Bookings can review the possibility of waiving any cancellation fees.
  • Vendors should not rely on cancelling any future show verbally with the on-site staff at a show.  Instead please email Bookings so there is a written record of the request.   The immediate demands of running a show often make it difficult and unreliable for any on-site staff to notate future booking issues, such as cancellations for future shows.
  • Any cancellations for which the vendor receives any amount of credit, that amount will go to their system store credit which the system first will use the next time the vendor pays for anything in the system.  If a refund on a store credit is desired, please request that via email to Bookings.  Vendors who regularly book should use the store credit system.
  • Cancelled tables cannot “roll over” to a booking for the next show in that location because offering tables to any vendor not in attendance could oversell that next show.
  • Bookings cancelled later than one month out from the show are charged the loss of deposit fee which is 10% of the booking.
  • Bookings cancelled later than 8am two Mondays out from the show are charged 50% of their full booking fee.
  • Bookings cancelled later than 8am the Monday before the show are charged full 100% of their full booking fee.
  • If a vendor has any emergency during the show weekend for which they either cannot arrive at either day of the show or they must vacate the show early, they must contact the show manger (as listed in their Load In email) by email or phone message or speak directly to them on site.   Failure to do so is considered either a no-show or leaving the show early.
  • Vendors who sell out of product should also discuss their situation with the onsite show manager in person at the show to settle how best to handle their specific circumstances.
  • Vendors who No-Show with no notice for a booked show without contacting Repticon will be responsible for their full table placement plus 25%, and will be required to prepay in full for all future tables booked.
  • Any vendor who vacates their tables before the show closes, removes more than 50% of their product before the show closes, or creates empty tables through product consolidation before the show closes will be charged his or her full table rent, plus an additional $50 per table, per show day fine that the vendor had committed to fill.
